Descripción del empleo
- Coordinate day-to-day administration of events and programs including placing orders, monitoring vendors, travel planning, facilitating company attendees and resolving issues. When required: monitoring registration, tracking RSVPs and answering questions.
- Coordinate event set-up, necessary grip-stock, tear down, and follow-up processes.
- Coordinate the event with attention to financial and time constraints.
- Coordinate venue management, caterers, stand designers, contractors and equipment hire.
- Scheduling workshops and lectures, when needed, during the event.
- Manage event agencies and suppliers.
- Assure that payments to suppliers are made, by using the necessary software and working with the accounting department.
- Coordinate staffing requirements and staff briefings.
- Assist all product and concept launches with management so that they are properly integrated at the event planning, execution and follow-up.
- Oversee event happenings and act quickly to resolve problems,
- With the T&E manager guidance, the events coordinator should team up with marketing/communication teams to coordinate:
o The material for each event e.g. e-mailing, brochures, leaflets, videos, templates, social media, event applications etc and coordination via GMT.
o All marketing and communication for and at an event have a clear "Call To Action"
o Transformative marketing (TFM)/lead management: consistent lead and data capture at events, integrated data into CRM Tool, provide Sales Rep with follow-up measures and provide consistent track of lead data.
- Coordinating with suppliers, handling client queries and troubleshooting on the day of the event - Evaluate event- s success and submit reports.
- Best practice sharing within own event department and other stakeholders.
- Implement and strictly adheres to the Envista compliance rules and regulations.
- Comply with all local legislation where the event will be held.
- The Event Coordinator must be willing to travel when needed
Requisitos
- Minimum experience of three years in coordinating customer-faced activities.
- University Degree in Marketing, Public Relations and Communication.
- Fluent in Spanish and English. Valuable Portuguese
- Nice to have product knowledge.
- Proficient in MS Office.
- Proficient in using CRM Tools and other relevant tools such as HubSpot and Cvents
- High sensitivity in specific local organizations demands and market needs.
- Ability to manage entrusted tasks and responsibilities independently.
- High doses of creativity and innovation. To think out of the box is a must.
